How it works
Buxhet follows a few simple rules so that the balances you see always match your real money. This page explains them.
Your account
You need an account to use Buxhet. Everything you enter belongs to your account, and only you can see it.
Your details
Email, password, name, country and date of birth.
Email code
A 6-digit code, valid for 15 minutes.
Account ready
Free for everyone for now. No card needed.
- To sign up, you enter your email address, a password, your first and last name, your country and your date of birth. A phone number is optional. You must be at least 18 years old.
- Buxhet then sends a 6-digit code to your email address. The account is created when you enter the code. The code is valid for 15 minutes, and you can ask for a new one.
- Buxhet is free for everyone for now. No card is needed to sign up. If paid plans are introduced later, you will be told before anything changes.
- You can change your details on the Account page. If you forget your password, you can set a new one from the sign-in page with a code sent to your email address.
- The Terms of Use and the Privacy Policy are linked at the bottom of every page.
Wallets and opening date
A wallet is any place where you keep money: cash, a bank account, a card. Every transaction belongs to a wallet.
Before
No transactions
Opening date
Opening balance, then every transaction in date order
- When you create a wallet, you enter its opening balance and opening date. The opening balance is the money that was in the wallet on that date. It is where tracking starts.
- The opening balance is not income. It cannot be below zero.
- A transaction cannot be dated before the opening date of its wallet. The opening day itself is allowed. For a transfer, this applies to both wallets.
- You can change the opening balance and the opening date later. The opening date cannot be moved after the wallet's earliest transaction.
- The Transactions page shows the current balance of your wallets above the list: up to five wallets that hold money, the highest balance first.
Transaction types
There are six transaction types. Each one changes the wallet balance in a fixed way.
Money in +
IncomeBorrowRepayment · incomingMoney out −
ExpenseLendRepayment · outgoing- Income
Money you earn, such as a salary.
Adds to the wallet
- Expense
Money you spend, such as rent or bills.
Takes from the wallet
- Transfer
Moving money from one of your wallets to another.
Takes from one wallet, adds to the other
- Borrow
Money someone lends to you.
Adds to the wallet
- Lend
Money you lend to someone.
Takes from the wallet
- Repayment
Paying back what you borrowed (outgoing), or being paid back what you lent (incoming).
Outgoing takes from the wallet, incoming adds to it
A transfer is a single transaction. The two wallets must be different.
The balance rule
A wallet balance cannot go below zero, on any date. You cannot spend money that was not in the wallet at that time.
- Buxhet starts from the opening balance and applies the transactions of the wallet in date order. Transactions on the same day are applied in the order you entered them.
- The balance is checked after every step, not only at the end. If it would go below zero at any point, the change is not saved.
- The check runs again every time you add, edit or delete a transaction, and when you change an opening balance. Deleting an income can be refused too, if a later expense depends on it.
Example: an expense with an earlier date
Today the wallet holds 1,100.00, and you add an expense of 300.00 dated Oct 10. The wallet has enough money today, but it did not on Oct 10, so the expense is not saved.
| Date | Transaction | Amount | Balance |
|---|---|---|---|
| Oct 1 | Opening balance | 500.00 | |
| Oct 5 | Expense | −400.00 | 100.00 |
| Oct 10 | Expense (new) | −300.00 | −200.00 |
| Oct 20 | Income | +1,000.00 | 800.00 |
If you see the message "Wallet balance cannot go below zero", please check the transactions of the wallet named in the message. The usual causes are:
- The date or the amount of the transaction is wrong.
- An income or a transfer into the wallet is missing, or has a later date than it should.
- The opening balance of the wallet is lower than it really was.
Debts and repayments
Borrow, lend and repayment transactions are followed on the Debts page, one person or company (counterparty) at a time.
- What you owe a counterparty is everything you borrowed from them minus your outgoing repayments. What they owe you is everything you lent to them minus their incoming repayments. An opening balance, if the counterparty has one, is added to its side.
- The two amounts are kept apart. They are never reduced to a single net amount.
- A debt that already existed before you started can be entered as the opening balance of the counterparty on the Management page. You choose its direction, "They owe me" or "I owe them". A counterparty can have one opening balance.
- The opening balance counts towards the debt, but it is not a transaction. It does not change any wallet balance, and it is not income or expense.
- The opening date is optional. Without a date, the debt counts from the very beginning. With a date, a repayment dated before it is not saved.
- A repayment cannot be more than the remaining debt, and cannot be dated before the debt. Like wallet balances, this is checked in date order.
- Debt transactions also change the wallet balance, so the balance rule applies to them as well.
Example: paying back a debt
You borrow 1,000.00 from Ali on Oct 3 and pay back 600.00 on Oct 10. You now owe 400.00. A repayment of 500.00 is not saved, because it is more than the remaining debt. A repayment dated Oct 1 is not saved either, because the debt did not exist yet.
- Repayment of 400.00 or less
- Repayment of 500.00: more than the remaining debt
- Repayment dated Oct 1: before the debt of Oct 3
Example: a debt from before you started
Ali already owed you 2,000.00 when you started using Buxhet. You add Ali as a counterparty with an opening balance of 2,000.00 and the direction "They owe me". No wallet balance changes.
Opening balance
Ali owes you 2,000.00. Wallets do not change.
Incoming repayment
Ali pays back 500.00 into your wallet.
Ali owes you 1,500.00
The wallet has 500.00 more.
Ali
You owe
500.00
Owes you
200.00
Both are shown. They are not reduced to a single 300.00.
If you see the message "A repayment cannot be more than the remaining debt or dated before the debt", please check your transactions with the counterparty named in the message: the repayment amount, its date and its direction, and whether the borrow or lend transaction is missing.
What counts as income and expense
The income and expense totals on the Dashboard only count income and expense transactions.
Counted
Not counted
- A transfer moves your own money, so it is neither income nor expense.
- Borrowing, lending and repayments change your balance, but they are not income or expense.
- The opening balance of a wallet is not income.
Categories
You type it any way. It is saved one way.
Your categories
- RentIncome
- RentExpense
Same name, two separate categories.
Built-in categories
- Transfer
- Debt
Set automatically. Cannot be renamed or deleted.
- Income and expense transactions need a category. You can add your own on the Management page.
- Category names are saved with a capital first letter and the rest in lower case, so "rent" and "RENT" both become "Rent" and count as the same name.
- The same name can be used once for income and once for expense. They are two separate categories.
- Transfers and debt transactions use the built-in Transfer and Debt categories. These cannot be renamed or deleted.
Recurring payments
A recurring payment is a reminder for an income or expense that repeats every week, month or year. You add them on the Calendar page.
Due date
A reminder. No balance changes.
Mark as paid
You confirm the amount, date and wallet.
Transaction
Created like any other. The balance changes.
Skip closes the due date without a transaction. Undo opens it again.
- A reminder does not change any balance by itself.
- When you mark a due date as paid (or received), Buxhet creates a normal transaction with the amount, date and wallet you confirm. All the rules above apply to it. The date cannot be in the future. Today's date is shown next to the Buxhet logo in the app.
- If you undo a paid due date, its transaction is deleted.
- For a monthly payment on a day that a month does not have, such as the 31st, the last day of that month is used.
- Editing or deleting a recurring payment does not change the transactions it already created.
Deleting and renaming
Not used yet
No transactions, no recurring payment
- Delete
- Rename
In use
Has transactions or a recurring payment
- Delete
- Rename: the transactions stay
- A wallet, category or counterparty that has no transactions can be deleted.
- If it has transactions, or a recurring payment uses it, it cannot be deleted. You can rename it instead, and its transactions stay as they are.
- Two wallets cannot have the same name. The same goes for counterparties.
